We are seeking passionate individuals to join this agency as Administrative Services Coordinators.
Job Responsibilities:
As an Administrative Services Coordinator, you will be instrumental in ensuring the seamless operation of the Agency by overseeing various administrative tasks, including:
Meeting & Event Coordination
- Organizing both online and physical meetings and events pertinent to the Agency's administrative functions.
- Drafting agendas, issuing invitations, coordinating catering support, reserving venues, and managing attendee lists.
Clerical Support
- Providing clerical assistance such as drafting correspondence, compiling minutes, generating reports and presentations, and maintaining databases.
- Monitoring project progress, proofreading, and formatting documents to uphold accuracy and professionalism standards.
Document Management
- Overseeing the management of electronic and physical archives to facilitate efficient document archiving and retrieval.
- Coordinating internal validation workflows, document registration, and correspondence management.
Travel Arrangements
- Facilitating business travel arrangements, including booking transportation and accommodations.
- Processing reimbursement claims, researching optimal travel itineraries, and managing reimbursement procedures.
Administrative Support
- Providing administrative assistance across corporate functions such as financial and human resources management, procurement, ICT, and facilities.
- Maintaining databases, preparing presentations, organizing team events, scheduling meetings, and other related tasks.
