Office Assistant

We are seeking a friendly and professional Office Assistant to join our team in Berlin. The ideal candidate will be the first point of contact for our company and will provide essential services to ensure smooth operations at the front desk.

What will be your key responsibilities:

  • Greet and welcome visitors with a positive attitude.
  • As a receptionist to ensure the smooth running of the reception and taking care of meeting spaces, keeping it tidy and presentable.
  • Manage post-delivery and sending, as well as courier services.
  • Monitor office equipment and maintain supplies, ensuring proper use and reporting issues as necessary.
  • Coordinate with contractors for office cleaning, coffee machine maintenance, and coffee supply.
  • Answer and direct phone calls to the appropriate departments.
  • Support the team with organizing events and creating a positive atmosphere within the team; handle food delivery.
  • Support the CEO with daily administration (arranging business trips, organizing calendar, meetings etc..).
  • Provide general administrative support to various departments as needed.
  • Scheduling and coordinating internal and external meetings.
  • Manage travel plans, including booking flights, hotels, and trains.
  • Prepare and manage various documents, reports and approve invoices in the internal system.
  • Responsibility for expenses accounting; business trip expenses, monthly business related expenses, car fleet accounting.
  • Handle inquiries and provide accurate information about the company.

What experience should you have:

  • Business Collage or Hotel College are welcome (not conditionally)
  • Minimum 2 years of experience in Office Management or as an Assistant
  • Advanced in MS office (Outlook, PowerPoint, Excel)
  • Strong organizational and time-management skills
  • Ability to manage & solve tasks independently
  • A helpful, respectful personality who is happy to fit in to a diverse international team
  • Discretion and reliability
