Personal Assistant to Chief Legal Officer

Our client is one of the largest fast-growing international financial institutions, operating in Europe and Asia. We are currently looking for a professional to fill the position of Personal Assistant to the Group Chief Legal Officer. The position is based at the company headquarters in Prague.

What will be your key responsibilities:

Act as the point of contact between the executives and internal/external clients
Undertake the tasks of receiving calls, take messages and routing correspondence, dealing with incoming email, faxes, and post, often corresponding on behalf of the manager
Managing and maintaining electronic and hard-copy files
Handle requests and queries appropriately
Maintain diary, arrange meetings and appointments and provide reminders
Make travel arrangements (flights, visas, and accommodation)
Take dictation and minutes and accurately enter data
Team support and support of 4 managers
Organizing team meetings
Processing time sheets and travel expenses
Maintaining the company’s electronic mailbox
Maintaining invoices (system approvals)
Coordinating work of team assistant

What experience should you have:

Proven experience as an administrative assistant, or in other secretarial position
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office
Proficiency in English
Exemplary planning and time management skills
Up-to-date with advancements in office gadgets and applications
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
University degree
A communicative, well-organized and flexible person with a team spirit
